PCHS User Guide: Subjects, Teachers, Exams, Marks and Attendance
This guide explains how to set up subjects and teachers, open an exam with a deadline, exempt students from subjects, enter marks and record attendance. It is written for school administrators and teachers.
Who does what
| Task | Who | Menu |
|---|---|---|
| Add subjects and link them to classes | Admin | Academics > Subjects |
| Add teachers and assign their subjects | Main administrator | Administration > Users |
| Create exams and set deadlines | Admin | Academics > Examinations |
| Exempt students from subjects | Admin | Students > Subject Assignments |
| Enter marks | Teacher (or admin) | Academics > Marks |
| Check marks per class | Teacher, class master, admin | Academics > Mark Sheet |
| Grant attendance access, set periods and term dates | Admin | Attendance > Access, Record > Periods, Term Dates |
| Record attendance | Admin, or staff granted access | Attendance > Record |
A teacher only sees the menu items for the work they have been given. A teacher with no subject assigned for the current year will not see Marks, Mark Sheet, Examinations or My Classes.
Setup order
Each step depends on the one before it, so follow this order at the start of every academic year:
- Subjects - create each subject and tick the class sections that offer it. See Adding Subjects and Assigning Them to Classes.
- Teachers - create the staff account and assign class, section and subject. See Adding Teachers and Assigning Them to Class Subjects.
- Exams - create the sequence or mock and set its deadline. See Exams and Mark-Entry Deadlines.
- Exemptions - switch off students who do not take a subject. See Exempting Students from Subjects.
- Marks - teachers enter marks before the deadline. See Entering Marks (Teachers).
- Attendance - set term dates and periods, grant access, then record daily. See Attendance.
Classes and sections must already exist (Academics > Classes) before you start.
Key rules at a glance
- Everything is for the active academic year. Teaching assignments and class masters belong to one year. When a new year is activated, the previous year's assignments are copied over where the new year has none.
- A teacher can only pick a subject that is already linked to the section. Link the subject first.
- Every enrolled student takes all subjects of their section unless they are exempted.
- After the deadline day ends, teachers can no longer save marks. Admins still can.
- Attendance is Present, Absent (unjustified) or Excused (justified). Absences print on term and annual report cards in periods, only when term dates are set.
- On report cards, a student who is not exempt and has no mark gets 1/20 for that subject. This only applies to sequences the section has actually sat. Exempting students correctly is therefore important.
